Hawk 3 Talent Solutions are operating as an employment agency on behalf of its client for a Transport Coordinator

Location: Swindon

Salary: £26-31K

Hours: 45 hours per week Monday to Friday (Days) 7am – 5pm, flexibility required to work different hours when required.


To ensure that requests for transport service are captured, recorded accurately and responded to in line with the previously agreed internal or external customer requirements whilst, striving for efficiencies and service excellence. Maintaining excellent standards of safety and delivering the core values expected from our market leading recycling business

Responsible for routing our LGVs from Swindon (7), Cardiff (3), Sharpness (3), Chard (2), Plymouth (2)

Key Responsibilities:


Representing transport division professionally and being courteous with stakeholders at all times.
Liaising efficiently with internal and external customers resolving any problems that occur
Promoting and ensuring compliance with transport policies, procedures and legislation
Planning, organising and managing the routing of deliveries and collections to meet the requirements of the organisation and our customers. Be pro-active in identifying routing and service level improvements, focusing on cost reductions and customer satisfaction
Capture feedback stakeholders, either positive or negative and report this for review
Using planning / routing / tracking software in line with instruction and training
Ensuring a cost efficient service
Driver Management

Supervising the drivers, managing overtime and efficiencies to ensure cost control
Ensure drivers complete paperwork correctly
Download driver cards and vehicle units and send data for analysis
Review sand maintain driver Working time and EU Rules compliance
Inspiring and enforcing a positive Health and Safety ethic within the team, ensuring the correct resources for a safe working environment are made available
Delivery of tool box talks / safety alerts / driver briefings as required
Hold weekly meeting / debrief with each driver at site where based
Maintain driver training records on the T2 Training Log
Maintain and track Driver CPC Training
Ensure drivers are recruited in line with company procedures and driver’s licences are checked quarterly.
Control driver holidays and holiday cover drivers
Vehicle Management

Ensure vehicles are presented for service / safety inspections when required
Aim to keep all vehicles fully utilised with minimal VOR
Maintain service wall charts and plan 6 months in advance
Oversee daily defect checking by drivers and collate reports for the TM to review
Ensure vehicles are made available for MOT, PMI, FTA and other inspections
Report any changes to vehicle and trailer numbers to Fleet Engineering
Arrange Gate Checks to ensure the Driver Defect Checking is effective
Haulier Management

Ensuring only approved hauliers are used
Ensuring the best possible rates are negotiated
Logging problems with hauliers on the Event Log

Enter budgets and forecasts onto T2 monthly
Where targets have been set for recovery of haulage cost then plan vehicle utilisation to ensure the targets are achieved
Review monthly costs and recoveries
Monitor vehicle tyre, fuel and repair costs
Control driver overtime
Records & Reports

Review and file transport related records e.g. PMI reports
Enter Events and Actions onto the Event Log and Action Log
Using Ferian, CMS and other systems in line with training and good practice
Produce monthly reports when required
Experience, attributes & skills sought:

Previous vehicle routing experience is essential
Proven track record of motivating drivers to deliver a quality service
Experience of making quick decisions under pressure in a fast paced environment
A good understanding of the EU drivers hours and working time directive
A good understanding of O-licence commitments
Transport Manager CPC is desirable but not essential, OLAT training if no CPC
IOSH Managing Safely is desirable but not essential however IOSH Supervising Safely is a minimum requirement
Good IT skills are required (e.g. MS Office, vehicle tracking, routing software)
Valid LGV Class C or C+E licence would be considered beneficial
Good knowledge of using disciplinary procedures and Personal Improvement Plans
